Free invoice templates: choosing between Excel, Word and PDF
Almost every invoice template on the internet is the same document in a different wrapper, and the wrapper is what people search for. The useful question is not which format is prettiest but what happens to the invoice after you issue it: if the figures may change, you need a format you can edit and calculate in; if the document needs a signature or a stamp, you need one you can rewrite; if it just has to look the same every time, you need one you cannot alter by accident. All three downloads below are the same GST tax invoice, laid out to Rule 46, and all three are generated in your browser.
The difference that actually matters
A blank template makes you do the work twice. You type the figures in, then you add up the tax yourself, then you hope the total matches the line you wrote. That is where invoices go wrong, not in the wording of the document. A template that carries live formulas removes the second step entirely, which is the only structural advantage one format has over another. Word and PDF are about presentation and paperwork; Excel is about arithmetic.
What a GST invoice must carry under Rule 46
All three formats include these fields, because a missing one is the most common reason a buyer cannot claim input tax credit. Their accountant rejects the bill at filing time, not at issue time, so the gap surfaces weeks later when the credit is already claimed.

Is the Excel template a real spreadsheet?
Yes, and the distinction is the whole point. Amounts are stored as numbers with a number format, not as text, so you can sort the sheet, filter it and build a pivot table on it, and your accountant can total it independently of anything we generated. More importantly, the tax columns are live formulas: type a quantity and a rate and the taxable value, CGST, SGST and line total recalculate, along with every subtotal and the invoice total.
The two details that stop a template calculating
Almost every downloaded invoice template that refuses to total has one of these two problems. Both are a storage-type mistake rather than a formula mistake, and both are easy to check before you start filling in twenty rows.

How the tax columns are built
Taxable value is quantity multiplied by rate. CGST and SGST are each half the GST rate applied to the taxable value, because an intra-state supply splits the tax between centre and state. IGST is the full rate for an inter-state supply, and is deliberately left as a cell you fill rather than a formula — the two cases are alternatives, so a template that computes all three at once would double-count on every inter-state invoice. Leave an unused cell at 0 rather than deleting it, so the subtotal formulas keep working.
When you want Word instead
Word is the format for invoices that need a signature, a stamp, or wording you have to change — a purchase order acknowledgement, a bill an auditor will initial, or a document that has to carry your letterhead. The file is a .docx, the format Word has used since 2007, so it opens in Word, Google Docs and LibreOffice as an editable document with every field as ordinary text in a normal table. It does not calculate, because Word cannot add up a column, and that is the trade for being able to edit the wording freely. Set an inserted logo to "in line with text": a floating image drifts when a row above it grows.
When you want PDF instead
A PDF is not editable, which is exactly the property that makes it useful for a blank invoice pad and for sending a copy that must not change in transit. This one is drawn as vector text rather than as a screenshot, so it stays sharp at any zoom level, prints cleanly at any size, and lets an accountant select and copy the figures out of it. It is A4 portrait with 12mm margins and fits on a single page including the signature block. Print it at 100% scale on a stack of paper and you have a reusable pad; do not use "fit to page", because the layout is already sized for A4 and scaling it shifts the signature block off the printable area on some printers.
How many HSN or SAC digits to print
The requirement follows your aggregate turnover in the previous financial year, not the type of customer you are billing. Printing fewer digits than required is a compliance gap; printing more is never a problem. The column in the Excel template is formatted as text so that a code with a leading zero is not silently corrupted.

If you are not registered for GST
You still issue an invoice, but it is not a GST tax invoice, and it must not show a GSTIN, a tax rate or a tax amount that you are not charging. Remove those fields before using the template. A composition taxpayer also bills differently from a regular taxpayer, so check which regime you are under before copying figures across.
When a template is the wrong tool
If you are issuing the same invoice repeatedly with different figures, a template is one more step than you need. Entering the details once and letting the tool compute the tax, then downloading the finished document, takes less time than filling in a spreadsheet and hoping the totals are right. Templates earn their place when you need a blank pad to print, a document you must reword, or a fixed layout your customers recognise.

What is the difference between an invoice template and a generated invoice?
A template is a blank document you fill in yourself, which means you retype every figure and do the arithmetic by hand. A generated invoice fills itself from the details you enter and computes the tax for you. Use a template when you want to print a blank pad or need to change the wording; generate the invoice when you want the numbers worked out for you.
Which format should I download?
Choose Excel if you need to edit the figures or send the invoice to an accountant. Choose Word if the invoice needs a signature, a stamp or wording you must change. Choose PDF if you want a fixed, print-ready document that cannot be altered by accident.
Are the templates GST compliant?
Yes. All three formats follow Rule 46 of the CGST Rules: a consecutive invoice number and date, supplier and recipient details with GSTIN, a description of supply, HSN or SAC code, quantity and rate, the taxable value, the tax rate and amount, and the total invoice value. Amount in words is included as well.

Should I write the GST rate as 18 or 18% GST?
Write 18. The rate is stored as a bare number so the tax formulas can multiply it. A cell containing the text "18% GST" cannot be used in a calculation, and this is the single most common reason a downloaded template stops calculating.
Why does my HSN code lose its leading zero?
It should not, and in the Excel template it does not. The HSN/SAC column is formatted as text specifically so a code like 0487 stays 0487. If you retype the code into a cell your spreadsheet has already decided is numeric, Excel will strip the zero and the code will no longer match the classification table.
How many item rows does the Excel template include?
Ten rows in the Classic, Formal, Minimal and Mono designs, and eighteen in Compact, which is built for long item lists. You can insert more rows inside the item block and the formulas will adjust, provided you copy a whole row so the references move with it.
Can I change the design of the template?
Yes, and there are five to choose from: Classic, Formal, Minimal, Mono and Compact. Pick one on the page and download it as Excel, Word or PDF — the design changes the typeface, the colours and how the header and total are set, not the content or the tax fields. Each design is a separate file, so you can keep more than one on your computer.
What is the difference between the five designs?
Classic is the familiar slate-and-white business layout. Formal uses a serif face with ruled headers and no fills, for anything you will file or get audited on. Minimal has hairline rules and the most white space. Mono is fixed-width Courier in a fully boxed grid, so columns line up on any system. Compact uses smaller type and fits the most item rows on one page.
What file do I get when I download the Word template?
A .docx file, which is the format Microsoft Word has used since 2007. It opens directly in Word, Google Docs and LibreOffice as an editable document. It is not an HTML file with a Word extension, and every field is ordinary text in a normal table, so you can type over the placeholders, add rows and insert your own logo.
Does the Word template calculate GST for me?
No. Word is a word processor, not a calculation engine, so the tax columns are blank for you to complete. If you need the totals worked out automatically, use the Excel template, where the tax columns are live formulas.
Why does the Word template show the tax as a separate summary?
A line-item table with eleven columns does not fit legibly on A4 portrait, and a cramped table is harder to read than a clear summary. The template therefore keeps the line items readable and lists CGST, SGST and IGST as their own summary rows underneath.
Can I fill in the PDF template?
The PDF itself is not editable, which is the point of a PDF. Print it and write on it, and you have a reusable pad of blank invoices. Or use it as a reference for the layout you want while filling in the Excel or Word version. The text is drawn as vector rather than as a screenshot, so it stays crisp at any zoom and your accountant can select and copy the figures out of it.
Can I use these templates for invoices without GST?
You can, but you must remove the tax columns and the GSTIN fields before issuing the document. A composition taxpayer and a business that is not registered both bill differently, and leaving GST columns in place on an unregistered invoice invites confusion at filing time.
